PRESENTATION OF REPORTS

• INTRODUCTION- Business managers have to write business reports of one kind or other &they can apply principles of good writing to create a document.

• MEANING-That communicates the meaning & be readers friendly. As always knowing whom the report is more critical &what they want to know.

• DEFINITION-According to “LESIKAR”&“PETTIT”-‘A business report is an orderly, objective communication of factual information that serves some business purpose.

• TYPES OF BUSINESS REPORTS - A report is basic ‘management tool in decision making’. Hence it is important for business important for business executives. Large scale organizations are engaged in multifarious Activities, which are handed by different departments.

• IMPORTANT FEATURES - The following are important Features of business reports.

1. ORDERLY-It is carefully planned & presented message.
2. OBJECTIVE-It has to be impartial, based on facts, analyzed.
3. COMMUNICATION-It is one of the ways of communication.
4. FACTUAL INFORMATION - It is factual information, events, records &other data communicated in the course of business.
5. BUSINESS PURPOSE - It always serve some specific & significant business purpose.
The business reports may travel inside or out side the Organization (shareholders, customers, government)

• CLASSIFIDED –

1. ORAL – An oral Report is face to face communication of an observation or impression. It is informal, time saving, simple &easy to present.
2. WRITING REPORT – A writing report is very accurate & precise & can be refereed again and again.
3. INFORMATION REPORT – It is normally in the form of person to person communication. It is written in the form of a letter.
4. FORMAL REPORTS – A formal report is present in a prescribed form & is presented in accordance with an established procedure.
5. SPECIAL REPORTS – A special report is presented in connection with specific situation & deal with non-recurrent problems.





• RESEARCH OR ACADMIC REPORT

It Include the following:-

1. HEADING- title of your report being careful not to include more than what you can deliver.
2. PROBLEM – on the basis of what you have said in the previous section, a problem need answering. Introduce the problem and then the sub-problems, listing them in logical manner. Take together, the answers of your sub-problems most provide a complete & accurate answer to your problem statement.
3. SCOPE –the scope describes the bound arise for your problem.
4. PROCEDURE – Explain how you will conduct your investigation. Describe your source of data & methods of collection.
5. CONCLUSION–Have appropriate ending that provide a sense of closure for your personal.
6. REFERENCE – Include the published sources internet situation, you have referred in your proposal.






CHARACTERISTICS OF A GOOD REPORT

1. PRECISION:- The writer is clear about the purpose, precision gives unity to the report.
2. ACCURACY OF FACTS:- The accuracy is very important, as the report leads to “decision-making”
3. RELEVENCE:- The facts presented should be relevant also. Irrelevant facts makes report confusing.
4. REAER ORGANIZATION:-While drafting keep in mind the person going to read it.
5. OBJECTIVITY OF RECOMMANDATION:- If recommendations are made, they must be impartial & objective.
6. SIMPLE:- It’s a scientific document of practical utility.

PREPARING A REPORT

There are five important steps:

1. INVESTGATION THE SOURCE OF INFORMATION:- It’s a spade work as it to be done in the beginning. The extent of investigation depends on importance of reports.
2. TAKING NOTES:-In the process on investigation, keep on taking notes of related things.
3. ANALYSING THE DATA:- Now analyze the data & final pattern will emerge. It is most important stage.
4. MAKING AN OUTLING:- Once a final pattern in writer’s mind he should prepare an outline to prepare a report.
5. WRITING THE REPORT:-in this content refering of outline & notes is done, a rough report is prepared.

STRUCTURE OF A BUSINESS/ FORMAL REPORT

In general long reports follow a specific structure:

1. TITLE PAGE:-It identifies the report, so that it can be disturb to those who are authorized to receive it.
2. TABLE OF CONTENT:- It list The main section that paper in the report & the page number.
3. EXECUTIVE SUMMARY:-Its function is to provide an overview of the content.
4. INTRODUCTION SECTION:- This gives aim & objectives& provides background information about the matter.
5. RECOMMONDATION:- It should only be made when it is specific aim of the report.
6. APPENDICES:-When large data can not be inserted in main finding, the information‘s can be placed.
It is wise to proof read for spelling mistakes, page numbers matching the contents.

CONCLUSION:- A report is a communication from some one who has information to some one who wants the information.
